Product Summary


Gumnuts System is designed to run in windows environments to look after Spa, Salon, Leisure, Hospitality, Complementary health, wellness and Medical businesses. The system can run as a single location system with one to many computers in a network or Multi location businesses running from a Central Server utilizing Microsoft terminal services accesses by all the separate Branches. We can also manage a big single location operation with multiple branches like spa, Salon, fitness Etc etc.

For multi location businesses there is also a simpler option of running the systems individually and having a file sent to the head office at the end of the day with
The days transactions for consolidation purposes as well.

The system is truly international with ability to set any countries language, currency and taxes. It has interfaces to most popular Hotel, Accounting, Fitness systems and ability to export any type of information.

Look and Feel

  • Every aspect of the system is designed to be user customized and friendly with different option settings.
  • The look and feel of the system can be completely customized to fit into your businesses branding and decoration.
  • All screens have background images setup in themes for user level selection. All screens, appointment book and printout fonts and colors are changeable.

Client Database and Information

  • Completely user customizable client information setup including address structure and mandatory field selection.
  • Quick search by surname, name, room No, numbers or scan/swipe card.
  • All client history is accessible from one screen.
  • Can store multiple images on the client file.
  • The clients can be tagged for marketing purposes like list of their likes or dislikes, Allergies etc etc. 
  • Ability to Design your own client database of information. Additional client information can be grouped in clusters of fields and images examples such as an initial consult, daily visit notes, etc. This information is then stored in the client file one or many times. It is also available for marketing purposes from the marketing function.
  • Any Client Information can be locked for privacy reasons. Client privacy is a major issue and all sensitive information can be setup with restrictive access and Audit Logging.

  • Each service is setup with a short and long description, duration, optional wait time, prep time and turnaround time.

Appointment Book

  • Built to fit into any size screen, this facility comes into its own when used with the new wide screen formats for businesses with multiple staff. All aspects of the appointment book are user customizable, from No of Columns, font type and sizes, to colors. Drag and drop, point and click operation with an uncluttered screen gives maximum exposure to appointment hours.
  • Built-in wizards for couples, group or single bookings.
  • Detailed client profile setup so that clients preferred practitioners are booked and catered for.
  • Day and Destination( Multi Day ) package bookings.. Bookings can be made for multiple staff serving one client or one staff serving multiple clients at the same time.
  • Email and SMS ( 1 or 2 way )reminders.
  • Utilizes our own 3 dimensional resource management methodology which means that Wrong or double bookings are flushed out because the system checks staff, room and equipment specialties before allowing the booking.

  • Ability to record Regret bookings ( Could not book due to any reason ) or Unassigned bookings where its too far ahead for Staff being rostered.

  • Multiple payments, client credits/deposits or accounts are easy to process.
  • Links to all POS peripherals such as Touch Screens, Cash drawers, Barcode scanners and receipt/docket printers.
  • POS is built into the appointment book for fast processing.
  • Interfaces to Hotel systems.

Staff Management

  • Daily rosters for staff. Staff treatments functions are set with their qualifications so that correct bookings are made.
  • Wages for certain countries and clock in and out functions are available.
  • Staff commissions are our specialty. Extensive criteria can be setup.
  • Staff budgeting is also available.

Marketing

  • We generate lists with any criteria. These lists can be re-filtered again and again delivering pin point accuracy.
  • The marketing queries can be saved for future use. The information can be applied to any criteria, allowing the management to view treatments or services issued, or identify clients that have not visited your business for set periods of time.
  • The fields in the client forms that are designed by the users can also be used. As well as all The client tags thus allowing a very sophisticated marketing list generation.
  • Once a list is finalized this can be automatically mail merged with template letters, email, SMS or envelope printing
  • Set and Forget Marketing ( No extra charge ) This means that the system will automatically email or SMS at a given data and time any information you want.
  • All marketing lists can be exported in any format.

Financials

  • All aspect of financials are completely customizable from payment types to tax rules, service charges etc.

Stock Control

  • Full retail and professional stock control with variance reporting, automatic purchase order generation and tracking of orders.
  • Barcodes and scanners can be utilized.
  • Extensive reporting including stock movements across a date range and adjustments management. Stock transfers between sites and returns to suppliers etc.
  • Stock Usage can be setup for each treatment and automatic stock decrementation is an option.
  • Stock promotions function that can give special discounts or free treatments or gift vouchers  to clients who have purchased a set amount from a certain suppliers retail items.
  • Stocks are grouped for reporting purposes. Each group can also have a subgroup.

Gift Voucher Management

  • Reporting and analysis of all gift voucher activities like sold, redeemed, expired by date range.
  • Gift vouchers can be setup for single or multiple redeeming.
  • Numbers can be generated or entered.
  • Gift Vouchers can also be printed as they are sold on the spot.
  • Barcodes can be printed on stickers for pre printed gift vouchers ( No extra Charge )


Reports And Statistics

  • Font types, sizes and colors are customizable with logos in the headings.
  • They can be exported into Word, Excel, or pdf formats and automatically emailed.
  • They can be setup to show a different Currency (please refer to the international section).
  • There are reports and charts for every aspect of the business in truly amazing detail.
  • Reports can also be customized to display different groupings, sort orders, totals headings etc. They can be run for any date range for one or many sites as setup in the system.

Membership management

Security

  • We take security very seriously and our system is designed around the PCI compatibility rules and all sensitive information is encrypted and user access is tightly controlled. All credit card information is encrypted.
  • Multiple levels of security access can be setup to enable staff to access levels determined by you.
  • An Audit log is kept for all actions. This log can be accessed for information on a client or staff, or a full day.
